Per-person, per-room and per-vehicle quotes
Two quotes for the same trip look far apart, and you cannot tell which one is cheaper.
IndonesiaQuest Editorial · Updated 20 October 2026
A quote can charge by the person, by the room or by the vehicle, and the unit changes how the price moves when your group changes size. Compare quotes only after you turn each one into a total for your whole group.
This guide shows what each unit does and how to line up two quotes on equal terms. It is part of our budgets and package decisions hub.
What does each pricing unit mean?
| Unit | What it covers | What happens when the group grows |
|---|---|---|
| Per person | Each traveller’s share of the package | Total rises with every extra traveller |
| Per room | The room, for a set number of guests | Total stays flat until the room is full |
| Per vehicle | The car, driver and fuel for the day | Total stays flat until the vehicle is full |
Hotels are normally priced per room, drivers per vehicle per day, and meals or activities per person. A package quoted per person has simply folded those three together.
The headline “per person” figure therefore depends on the number of people the agency assumed. Ask for that assumption in writing.
Why does party size matter so much?
A car and driver cost the same whether two or six people ride, so each person’s share falls as the seats fill. A hotel room works the same way until a third or fourth guest needs an extra bed.
That is why a group of friends sharing one vehicle can see a lower per-person figure than a couple on the same route. Our guide on how a private tour cost changes with six travellers in Bali walks through the idea.
Read group discounts and how quotes change with party size before you assume a bigger group is always cheaper.
How do you compare two quotes in different units?
Follow these steps with a pen or a spreadsheet:
- Write down your exact party: adults, children and their ages.
- Turn each hotel line into a total: rooms needed multiplied by nights.
- Turn the transport line into a total: vehicles needed multiplied by days.
- Add meals and activities per person for the whole group.
- Add the same extras to both: levy, tips, flights if excluded.
- Compare the two totals, and note what each leaves out.
If a number is missing, ask. A quote that cannot tell you the vehicle size or the room occupancy is hard to compare.
Want a second pair of eyes on your plan?
If you hold two quotes in different units, send us both and your party size. We can lay them side by side and pass your brief to a licensed agency.
You get a reply from a person who reads your plan, plus a quote from a licensed Malaysian agency if you want one. What should a per-vehicle quote tell you?
A transport price needs a few facts beside it:
- Vehicle type and seat count.
- Hours per day, and the overtime rate.
- Whether fuel, parking and tolls are included.
- Whether the driver’s meals and lodging are covered.
Our guide on what a private Bali driver package includes lists the questions in more detail.
What should a per-room quote tell you?
A hotel line needs the same care:
- The adults and children the room rate allows.
- The bed arrangement, and the price of an extra bed.
- Whether breakfast is included for every guest.
- Which taxes and service charges are added later.
A family that fills one large room can pay less than a family booking two rooms, so ask about family rooms and connecting rooms.
Which tool helps you line them up?
The package inclusion comparator puts two quotes side by side on inclusions and exclusions, so you see differences that a headline number hides.
Send the totals for your group to the agency and ask them to confirm the unit, the assumed party size and the date the price holds.
Keep planning
- How group quotes change with party size and vehicleYou are travelling with friends or extended family and wonder why one more person changes the quote.
- Bali for six: private tour cost per personSix of you are going together and nobody is sure how the shared costs split.
- Private Bali driver: what a package includesYou like the idea of a private driver but cannot tell what the daily rate actually covers.
- Package inclusion comparatorTwo quotes look alike, yet one leaves out the driver, the meals or the entry tickets.
- Where to stay: area guidesYou know the island, but the choice of base still decides how tired everyone feels.
- Airport pickup fees and hotel transfersYou land tired, and the hotel's pickup offer arrives with a price you cannot judge.
Questions Malaysians ask
Why do two quotes for the same trip look so different?
They may be priced in different units. One agency quotes each person, another each room or each vehicle. Convert both to a total for your whole group and compare the totals, not the headline numbers.
Which pricing unit suits a group of friends?
Per-vehicle pricing tends to reward groups that fill the seats, because the driver and car cost the same for a full or half-empty vehicle. Per-person pricing is easier to read when the group is small.
How does a child change a per-room quote?
A child sharing a room with parents may add little or nothing, and an extra bed adds a charge. Ask which guests the room rate allows and what a child bed costs.
What should I ask if a quote mixes units?
Ask for a line-by-line table with the unit beside every item, plus one total for your group. A good quote shows hotel per room, transport per vehicle per day and meals per person.
Entry rules, ferry times and prices change. Check the official source or your licensed agency before you book.
