Refunds and rebooking after a disruption
A cancelled flight or delayed ferry has your family waiting, and you need to know who to call.
IndonesiaQuest Editorial · Updated 20 October 2026
Start with whoever sold you the affected service, ask what they can offer in writing, and keep every record. The agency, the airline, the ferry operator and your insurer each own a different piece, so naming the right one saves hours. Stay polite and specific, since calm requests are processed faster.
Our booking responsibility guide explains who owns which part of a trip. This page turns it into a playbook for the day things go wrong.
Who do you call first?
Work out who sold you the item that failed. A flight bought through an agency is the agency’s first concern. A flight bought directly is the airline’s.
If a driver or hotel is affected, contact the agency that arranged it. If you booked it yourself, contact the supplier and use the confirmation you saved.
What should you ask for?
Ask for three things in order: confirmation of what happened, the options on offer, and the deadline for choosing. Options include a rebooking, a credit or a refund.
Say what matters most to you, such as arriving before a family event or keeping the same hotel. A clear priority helps the other side offer something useful.
What can and can’t be promised?
Refunds depend on the ticket terms and the reason for the disruption. Weather and operational delays are treated differently from a supplier’s own cancellation.
Nobody can promise a particular outcome in advance, so treat any promise as real only once it is in writing. Our cancellation and reschedule checklist shows the questions to put before you pay.
Want a second pair of eyes on your plan?
If a disruption has already hit your trip, send the booking details over WhatsApp. We can help you work out who to ask and pass your brief to a licensed agency if you need a replacement plan.
You get a reply from a person who reads your plan, plus a quote from a licensed Malaysian agency if you want one.How do ferry and transfer disruptions differ?
Trips with sea crossings depend on weather and timetables, so build slack into the plan. Our booking checklist for ferries and private transfers lists what to confirm in advance.
Ask your driver or agency what happens to the rest of the day if a crossing is late. A written fallback is better than a hopeful guess.
What should you keep as evidence?
- Booking confirmations and payment receipts
- Screenshots of delay or cancellation notices, with times
- Messages with the agency, driver or hotel
- Receipts for any extra cost you had to cover
Keep everything in one folder and note names and dates of each conversation. Submit it together when you ask for a refund.
What if the answer is unclear?
Write a short follow-up that restates what you were told and ask the other side to confirm it. A written confirmation turns a phone call into something you can rely on.
If the agency stays silent, check its licence through the ministry route described in our guide to checking a Malaysian agency licence, and keep your evidence ready for a formal complaint.
Keep planning
- Booking your Indonesia trip with confidenceYou are about to pay a deposit and want to know who is responsible for what.
- Cancellation and reschedule questions to askYour leave is fixed and school holidays are tight, so a change of plan must not cost you.
- Booking checklist for ferry and driver tripsYour plan has a ferry, a driver and a hotel that all have to line up.
- Where to stay: area guidesYou know the island, but the choice of base still decides how tired everyone feels.
- Airport pickup fees and hotel transfersYou land tired, and the hotel's pickup offer arrives with a price you cannot judge.
- Attractions and cultural places in IndonesiaYou have limited leave and a long list of temples, and you want the days to feel unhurried.
Questions Malaysians ask
Who do I contact first when a flight is cancelled?
Contact whoever sold you the ticket. If you bought through an agency, message it first and also check the airline's own notice. If you booked directly, use the airline's official channels.
Is a refund certain after a disruption?
No. What you receive depends on the ticket terms, the cause of the disruption and any insurance you hold. Ask in writing what is offered: refund, credit or rebooking.
What should I keep as proof?
Keep booking confirmations, payment receipts, screenshots of delay or cancellation notices, messages with suppliers and receipts for extra costs. Date everything and store it in one folder.
Does travel insurance help?
It can, depending on the policy. Read what it covers for delays and cancellations, and notify your insurer early, since claims need documents from the day of the event.
Entry rules, ferry times and prices change. Check the official source or your licensed agency before you book.
