A family trip planning worksheet for Indonesia

You are organising grandparents, children and one tight leave window, and need everyone's needs on one page.

IndonesiaQuest Editorial · Updated 20 October 2026

A family trip works when the plan fits the slowest walker, the youngest child and the person with the strictest food needs. This worksheet gets those limits onto one page before anyone asks for a quote. Fill it in with the family, then paste the short version into WhatsApp.

It is written for Malaysian families with limited annual leave or school-holiday windows, including three-generation groups. If you are still choosing where to go, start with the region chooser.

Who is travelling?

Write each person on a separate line with their age and any limit that affects the day.

  • Adults, children and infants, with ages.
  • Anyone who tires on stairs, slopes or long walks.
  • Anyone who gets travel sick on winding roads.
  • Anyone who needs a mid-day rest or a nap.

These notes matter more than the destination name. A parent who cannot manage steps changes which temples or viewpoints fit.

What pace suits your family?

Choose one line for the whole trip, then check it against each person.

  1. Slow: one main activity a day and long breaks.
  2. Balanced: one main and one lighter activity a day.
  3. Full: a long list of stops a day, with early starts.

Families with young children or elders do better at slow or balanced. If the family disagrees, mark each person’s must-have and nice-to-have, then build days around the must-haves.

What are the food needs?

Write down the facts the agency must plan around.

  • Halal requirement, and how strict it is.
  • Allergies and foods children refuse.
  • Whether you want familiar food at some meals.

Ask for a meal-by-meal list, and look for the BPJPH halal logo where food is bought. Do not rely on the menu alone.

Want a second pair of eyes on your plan?

Once the worksheet is filled, paste the short brief into WhatsApp. We will read it with you and can pass it to a licensed agency for a quote.

You get a reply from a person who reads your plan, plus a quote from a licensed Malaysian agency if you want one.

How will you move around?

Decide how much driving the family can take. Long road legs tire children and elders, so note the longest leg you are comfortable with, and whether a private driver all day suits you. For this, read private driver versus Grab all day and how to pick a sedan, MPV or minibus for your group.

What is the budget?

Write the total budget in ringgit and what it must cover. Note whether flights are inside the budget or already bought. The trip cost calculator helps you split the figure by line.

What does the short brief look like?

Paste this into WhatsApp with your own answers.

Travelling: [number] adults, [number] children (ages), [elders if any]. Dates: [dates]. Area: [area or undecided]. Pace: [slow, balanced or full]. Food: [halal and allergy notes]. Limits: [stairs, motion sickness, naps]. Transport: [driver all day or mixed]. Budget in ringgit: [amount].

What is the next step?

Fill the worksheet with the whole family, trim it to the short brief and send it. If you have received quotes already, compare them with how to compare two quotes line by line.

Questions Malaysians ask

Why use a worksheet before asking for a quote?

A quote is only as accurate as the brief behind it. When ages, pace, food needs and budget are written down, the agency can match the plan to your family rather than a generic group.

How detailed should the worksheet be?

Short answers are enough. The point is to capture limits that change the plan, such as a parent who cannot climb steps, a toddler's nap or a halal meal need.

What if the family cannot agree on the pace?

Mark each person's must-have and nice-to-have. Build the days around the must-haves, then add the extras where they fit without rushing anyone.

Can I send the worksheet to you as it is?

Yes. Paste your answers into WhatsApp and we will check them and pass your brief to a licensed agency for a quote.

Entry rules, ferry times and prices change. Check the official source or your licensed agency before you book.
